We collect only the information needed to operate the site, process orders, review commissions, build client records, ship completed work, provide customer support, and maintain the integrity of our bench process.

We may collect information from you when you visit the website, submit a Build Record, place an order, contact the House, join a mailing list, or interact with our Shopify store.

We do not intentionally request highly sensitive personal information. Clients should not submit private medical information, explicit personal identity information, or unnecessary intimate details through the Tool Builder, contact forms, order notes, or email.


2. Build Records and Commission Information

When you submit a custom commission through the Tool Builder or another approved commission path, the information you provide may become part of an internal Build Record.

A Build Record may include:

  • Client name
  • Contact information
  • Tool type
  • Wood species
  • Handle selection
  • Body selections
  • Finish oil
  • Engraving details
  • Artwork references
  • Commission notes
  • Full Build Price
  • Payment Status
  • House Terms acceptance
  • Consent & Safety acceptance

  • Internal bench notes

This information is used to review the commission, determine compatibility with House standards, manage bench release, build the piece, communicate with the client, and maintain accurate production records.


3. How We Use Your Information

  • Process Full Build Price payments

  • Conduct House Review
  • Determine material compatibility
  • Confirm commission scope

We do not use client information to create public-facing Ledger entries unless the information is client-safe or the client has given permission for identifying details to be used.

The Sub Space Boutique does not directly store full credit card numbers or complete payment card credentials. Payment processing is handled through Shopify’s secure checkout and related payment systems.

Clients may submit engraving text, artwork references, image links, design notes, or other materials for commission review.

By submitting these materials, you confirm that:

  • You have the right to provide them
  • They do not violate another person’s rights
  • They are not unlawful
  • They are not abusive, exploitative, or unsafe
  • They are within the scope of the commission request

The House may retain submitted materials as part of the Build Record, proofing process, internal production notes, or commission archive.

The House reserves the right to refuse, remove, or disregard submitted materials that conflict with House Terms, safety standards, legal requirements, or brand scope.


10. Public Ledger and Archive Use

The Sub Space Boutique may photograph, document, or archive completed works for internal records, portfolio use, educational content, product display, or Ledger presentation.

Public-facing Ledger or portfolio content may include:

  • Tool name
  • Wood species
  • Tool type
  • Finish style
  • Engraving style
  • Build description
  • Product photography

Public-facing content will not intentionally include private client contact information.

Client names, personal identifiers, private messages, or confidential commission details will not be used publicly unless approved or voluntarily provided for that purpose.


11. Data Retention

We retain information for as long as needed to operate the business, complete orders, maintain commission records, satisfy legal obligations, resolve disputes, prevent fraud, support tax and accounting records, and preserve internal build documentation.

Custom commission records may be retained longer than ordinary retail records because they support:

  • Build history
  • Tool documentation
  • Lineage records
  • Client support
  • Repair or care reference
  • Internal production history
  • Legal and accounting obligations

When information is no longer needed, we may delete, anonymize, or archive it in accordance with business and legal requirements.

Do not submit unnecessary sensitive information through order notes, contact forms, email, or the Tool Builder.
